Set up certificates for staff and email notifications for their expiry

Setting up the list of Certificates



Select your initials in the top left hand corner of the screen


Select Settings

Select Pin Access in the left hand menu

The system has 4 default certificates. (if you wish to remove these please reach out to support)

To add more Certificates select the +Add Certificate at the bottom of the list of certificates
When adding these you need to add an abbreviation of the certificate name so it can be shown in the staff area on the table of certificates

If a certificate needs to be removed use the trash can button

Don't forget to press save in the top right corner


Setting the notifications


To set the notifications while in the Pin Access area select + Notifications in the top right hand corner located next to the save button


A menu will pop out from the right hand corner and will ask for the information required to set this up


In the area labeled search select this and it will show all the certificates that are on the profile using a drop down menu. Select the certificate or certificates you want to set the notification up for.

(Multiple certificates can be selected and set to the expiry period so you only have to set it once! If you require different time periods for each you will need to do this for each one.)


Select the email staff member box if the staff member needs to be notified of their certificate coming up to expiry.

Using the drop down next to email staff member select the time period at which the notification is to be sent prior to the expiry of the certificate.
If you select to send email to the staff holding the expired certificates, the staff must have their email verified. 
The verification email can be sent out to the staff via the General Menu then Staff of each store. See below Send verification link.


Additional emails can be set up using the email bar, once you enter an email you must select the up arrow at the end of the box to load the email into the system, multiple emails can be added to this but after each email the blue up arrow must be selected.
More notifications can be set for different time periods and certificates using the +Add Email Notification button

Before leaving this menu don't forget to select save at the bottom and save on the Pin Access page.

You have set up the email notification for certificate expiry!

The additional emails will receive this summary:


Now all that is left is to load in the staff and their certificates in the Staff area located in the General menu.
